Before you start
Have your full email address, mailbox password and assigned UKC server hostname ready. The server is shown in your hosting welcome email, for example ukc12.uk.
Recommended settings
Use secure IMAP and SMTP
IMAP keeps messages and folders synchronised between Outlook, webmail and your other devices. Use these settings when Outlook asks for advanced details.
- Username
- Your complete email address
- Password
- Your mailbox or webmail password
- Incoming server
- Your assigned UKC server, for example ukc12.uk
- Incoming protocol
- IMAP
- Incoming port
- 993
- Incoming security
- SSL / TLS
- Outgoing server
- Your assigned UKC server, for example ukc12.uk
- Outgoing authentication
- Required
- Outgoing port
- 465
- Outgoing security
- SSL / TLS
If Outlook cannot use SMTP port 465, use port 587 with STARTTLS instead.
New Outlook for Windows
Add your mailbox
- Open View settings, then choose Accounts and Your accounts.
- Select Add Account, enter your full UKC email address and choose Continue.
- If Outlook does not find the settings automatically, choose IMAP or open the advanced settings.
- Enter the secure incoming and outgoing settings shown above. Use your full email address as the username for both servers.
- Enter your mailbox password and finish the setup.
Classic Outlook for Windows
Use manual account setup
- Select File, then Add Account.
- Enter your email address, select Advanced options and tick Let me set up my account manually.
- Choose IMAP and enter the secure server settings above.
- Make sure the outgoing server requires authentication and uses the same username and password as the incoming server.
- Select Next, enter your mailbox password and allow Outlook to test the account.
Optional alternative
Using POP instead of IMAP
Use POP only when you intentionally want Outlook to download mail rather than keep all devices synchronised. The secure incoming POP port is 995 with SSL / TLS. The outgoing SMTP settings stay the same.
Test sending and receiving
Send a message from the new account to another address, then reply to it. A successful send and reply confirms both SMTP and IMAP are working.
Troubleshooting
If Outlook cannot connect
- Use the assigned hostname from your welcome email, such as ukc12.uk, for both servers. This keeps the hostname aligned with the mail certificate.
- Use the complete email address as the incoming and outgoing username.
- Confirm SMTP authentication is enabled and uses the same credentials as incoming mail.
- Try SMTP port 587 with STARTTLS if your connection blocks port 465.
- Sign in to Roundcube first to confirm the email address and mailbox password are correct.
